Successful events start with careful planning. Submit room and event registry requests two to four weeks in advance to ensure support and resource availability. Day-of support is limited, and last-minute requests may not be accommodated.
Event registry notice:
ASU’s Events Registry helps ensure safety and proper coordination for campus events. Events requiring registration must be submitted at least 14 days in advance, and some may require additional permits or fees depending on size and scope.
Not all events need to be registered, but it’s important to review the guidelines to determine if yours does.

Book conference rooms in the Psychology Building or Psychology North.

Outside food must follow ASU’s food health and safety standards.

Set up Zoom and AV in PSY 230. Test tech early.

Colloquium planning checklist
3 months before event:
- Obtain approval from Department Chair (email Leah Doane; cc Andrea Moses).
- Reserve a room (typically PSY 230) with Andrea Moses.
- Confirm funding with Andrew Powers for any travel, food or honoraria.
- Note: Department funds cannot be used for these expenses.
1 month before event:
- Complete the SAP (Speaker Artist Performer) agreement.
- Host faculty submits form to Andrew Powers for processing.
- Send event details to Laura Fields for promotion:
- Speaker photo and bio (third person)
- Talk title and abstract
- Zoom details? (Will it be recorded?)
- Coordinate travel:
- Speaker books airfare (coach/economy).
- Andrew Powers arranges hotel.
- Arrange catering (if needed) with Andrea Moses or Andrew Powers. Staff can place orders, but setup/cleanup requires an onsite contact.
- Test AV/Zoom in advance. Host faculty manages Zoom during the event.
After the event:
- Speaker submits receipts to Andrew Powers for reimbursement (hotel, meals, ground transportation).
